CareerPCS respects your privacy. This Privacy Policy explains how CareerPCS collects, uses, shares, and protects information when you use CareerPCS websites, applications, dashboards, forms, emails, and related services, including careerpcs.com, dashboard.careerpcs.com, admin.careerpcs.com, and any related CareerPCS services that link to this Privacy Policy.

By using CareerPCS, you agree to this Privacy Policy and our Terms of Service.

1. Information We Collect

We collect information you provide directly, information generated through your use of CareerPCS, information from employers and organizations, and information from public or third-party sources.

Depending on how you use CareerPCS, we may collect the following categories of information.

If you apply to an opportunity, join the candidate pool, request contact, verify your email, or submit candidate information, we may collect:

Name.

Email address.

Phone number.

Current location.

Relocation preferences.

Resume.

Cover letter.

Optional profile photo.

LinkedIn URL.

Rank.

Service branch.

Availability dates.

SkillBridge or transition-related dates.

Verbal approval status.

Security-clearance-related information.

Military-verification or email-verification status.

Career interests.

Categories or industries of interest.

Additional information you choose to provide.

Application history.

Candidate pool availability and contact preferences.

Uploaded files and documents.

We may use this information to process applications, verify email addresses, support candidate pool participation, share candidate information with participating employers or organizations, enable employer workflows, prevent fraud or abuse, and operate CareerPCS.

Profile photos. If you choose to upload a photo, we process it before storing it: the image is re-encoded and embedded metadata, such as camera and location data, is removed. Photos are stored with restricted access and are shown only alongside your application or candidate profile — to the employer or point of contact that receives your application, or to verified employers searching the candidate pool. Uploading a photo is optional and never affects how your application is handled. Photos are deleted when the submission they belong to is deleted, and unverified submissions, including any photo, are deleted automatically after 14 days.

3. Employer, Company, and Account Information

If you create an account, claim a company, manage listings, subscribe to a plan, verify a company, use the dashboard, or submit company information, we may collect:

Name.

Email address.

Phone number.

Login and authentication information.

Company name.

Company role or affiliation.

Company owner or point-of-contact information.

Company address, website, logo, and profile information.

Opportunity listings.

Locations.

Program information.

Verification status.

Uploaded company documents.

Employer notes, tags, statuses, and applicant tracking data.

Subscription and billing status.

Feature access and account settings.

We may use this information to create and manage accounts, verify companies, publish and manage listings, provide dashboard features, process subscriptions, support applicant workflows, communicate with account owners, and secure CareerPCS.

4. Client Portal and Company Application Information

If you use a CareerPCS client portal or company application workflow, we may collect company and program information such as:

Company details.

Employer identification or tax-related information where requested.

Points of contact.

Program descriptions.

Training or SkillBridge-related details.

Salary or compensation-related information.

Hiring and location information.

Verification materials.

Uploaded documents, certificates, memoranda, and related files.

We use this information to support company onboarding, verification, program review, administrative workflows, and related CareerPCS services.

5. Applicant Tracking Information

Employers using CareerPCS may create notes, statuses, tags, timestamps, and workflow records related to candidates or applicants.

These records are employer-controlled workflow data. CareerPCS processes them to provide applicant tracking, dashboard, reporting, and related services. Employers are responsible for the content they enter and for complying with all laws that apply to their use of applicant information.

6. Payment and Subscription Information

If you purchase a subscription or paid feature, payment information may be processed by Stripe or another payment provider. CareerPCS may receive and store payment-related information such as:

Stripe customer identifiers.

Subscription status.

Plan information.

Invoice information.

Payment status.

Billing history.

Checkout session metadata.

CareerPCS does not directly store full payment card numbers.

7. Device, Usage, Analytics, and Security Information

When you use CareerPCS, we may automatically collect information such as:

IP address.

Device type.

Browser type.

Operating system.

Pages viewed.

Referring URLs.

Approximate location.

Session activity.

Searches and interactions.

Form activity.

Rate-limit data.

CareerPCS may collect or display information from public, government, employer, or third-party sources, such as public opportunity listings, organization data, location data, government datasets, federal job information, or other publicly available career-related information.

This information may be incomplete, outdated, inaccurate, unavailable, or subject to third-party terms.

9. Sensitive Information

Some information submitted through CareerPCS may be sensitive, including military-related information, security-clearance-related information, uploaded documents, precise career-transition details, or information contained in resumes and cover letters.

We use this information only to provide, secure, support, and improve CareerPCS; process applications or candidate pool submissions; facilitate employer workflows; comply with legal obligations; and protect against fraud, abuse, or misuse.

Do not submit classified information, controlled unclassified information, Social Security numbers, medical records, financial account numbers, or other information that is not necessary for the relevant CareerPCS workflow.

We use information to:

Provide and operate CareerPCS.

Process candidate applications.

Support candidate pool participation.

Share candidate information with participating employers or organizations when directed by the candidate or necessary for the relevant workflow.

Create and manage user accounts.

Authenticate users.

Verify emails.

Support company claims and verification.

Publish and manage employer listings.

Provide dashboard, applicant tracking, analytics, and subscription features.

Process payments and subscriptions.

Send transactional, account, verification, security, applicant, employer, billing, and service-related communications.

Send marketing communications where permitted by law.

Improve and develop CareerPCS.

Monitor performance and troubleshoot errors.

Prevent fraud, spam, bots, abuse, and unauthorized access.

Enforce our Terms of Service.

11. How We Share Information

We may share information as follows.

With employers or organizations. When a candidate applies to an opportunity, joins the candidate pool, requests contact, or otherwise directs us to make information available, we may share candidate information with participating employers or organizations.

With candidates. We may share employer listing, company, location, and opportunity information with candidates and public users.

With service providers. We may share information with vendors and service providers that help us operate CareerPCS, including hosting, database, email, file storage, search, analytics, security, authentication, payments, and infrastructure providers.

With CareerPCS personnel. We may share information with CareerPCS administrators, employees, contractors, advisors, or support personnel who need access to operate, secure, debug, support, or improve CareerPCS.

For legal, safety, and security reasons. We may share information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect rights, safety, security, or the integrity of CareerPCS.

In a business transaction. We may share or transfer information in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.

In aggregated or de-identified form. We may share aggregated, statistical, or de-identified information that does not reasonably identify an individual.

Employers that receive candidate information are independent users or customers of CareerPCS, not service providers acting solely on our behalf. Their use of candidate information may be governed by their own policies and legal obligations.

12. Service Providers and Their Privacy Policies

CareerPCS uses third-party service providers to operate, secure, analyze, and improve the Platform. These providers may process information according to their own privacy policies.

Our providers may include:

Stripe Privacy Policy for payment processing, subscriptions, invoices, checkout, and billing-related services.

Algolia Privacy Policy for search-related services.

Cloudflare Privacy Policy for hosting, security, edge infrastructure, bot protection, rate limiting, file storage, and related infrastructure services.

Firebase Privacy and Security for authentication, analytics, database, or application infrastructure services where used.

Google Privacy Policy for Google services such as authentication, analytics, maps, places, and related services.

Hotjar Privacy Policy for product analytics, usage analytics, and experience-improvement tools where used.

We may add, remove, or change service providers over time as CareerPCS evolves.

13. Sale or Sharing of Personal Information

CareerPCS does not sell personal information for money.

We may use analytics, security, and similar technologies to understand how CareerPCS is used, improve the Platform, detect abuse, and measure performance. Some privacy laws define “sale,” “sharing,” or “targeted advertising” broadly. If our use of analytics or similar technologies is considered a “sale” or “sharing” under an applicable privacy law, you may contact us at admin@careerpcs.com to request an opt out.

We do not knowingly sell or share personal information of children or use candidate application materials for third-party targeted advertising.

14. Cookies, Analytics, and Similar Technologies

CareerPCS may use cookies, local storage, pixels, analytics scripts, and similar technologies to keep users signed in, remember preferences, secure the Platform, understand usage, detect abuse, improve performance, and measure product behavior.

You may be able to control cookies through your browser settings. Disabling cookies or similar technologies may affect the functionality of CareerPCS.

15. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include access controls, authentication, private file storage, bot protection, rate limiting, email verification, security monitoring, and other safeguards.

No system is perfectly secure. We cannot guarantee that information will always remain secure, private, or available.

16. Data Retention

We keep information for as long as reasonably necessary to provide CareerPCS, maintain business and security records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, and support legitimate employer and candidate workflows.

Retention periods vary depending on the type of information and how it is used. For example:

Application materials may be retained to support candidate, employer, audit, security, and recordkeeping workflows.

Candidate pool submissions may be retained while the candidate remains available for contact or until removal is requested, subject to legal, backup, fraud-prevention, and operational limits.

Employer applicant tracking notes and statuses may be retained for the employer’s account and workflow history.

Uploaded verification, company, resume, and cover-letter files may be retained while needed for the relevant workflow, account, compliance, or security purpose.

Billing and subscription records may be retained as needed for accounting, tax, fraud-prevention, and legal compliance.

Security logs, rate-limit records, analytics, and technical records may be retained for a shorter period unless needed to investigate abuse, fraud, security incidents, or legal issues.

Backup copies may persist for a limited period after deletion from active systems.

You may request deletion or correction of certain information by contacting us at admin@careerpcs.com. We may need to retain some information where permitted or required by law.

17. Your Choices and Rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information. You may also have the right to object to or restrict certain processing, opt out of certain sharing or targeted advertising, or appeal a privacy-rights decision.

You may opt out of marketing emails by using the unsubscribe instructions in the email or contacting us. You may still receive transactional, security, account, application, verification, billing, and service-related messages.

19. International Users

CareerPCS is operated from the United States. If you access CareerPCS from outside the United States, your information may be processed in the United States or other countries where our service providers operate. These countries may have privacy laws different from those in your location.

20. Children

CareerPCS is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to CareerPCS, contact us at admin@careerpcs.com.

21. Third-Party Websites and Services

CareerPCS may link to third-party websites, job boards, government websites, employer websites, payment providers, analytics providers, maps, authentication providers, or other services.

We are not responsible for the privacy practices, content, availability, or security of third-party websites or services. Review their privacy policies before providing information to them.

CareerPCS may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last Updated” date. Your continued use of CareerPCS after changes become effective means you accept the updated Privacy Policy.
